How Night Roller Coffee collects, uses and protects your information when you book our pink trailer.
Last updated: October 30, 2026
This Privacy Policy explains how Night Roller Coffee (“Night Roller Coffee”, “we”, “us” or “our”), a mobile coffee trailer serving events and private catering in Colorado, collects, uses and protects your personal information when you visit this website, request to host our trailer at an event, ask for a catering quote, or otherwise contact us (together, the “Services”).
By using the Services you acknowledge the practices described below. If you do not agree with this policy, please do not use the Services.
Information We Collect
Information you give us. When you submit our Event Request form, Catering Quote form or Contact form, you may provide:
- Your name, organization or company name, email address and phone number.
- Event details such as event name, category, date and time, venue or city, expected attendance or guest count, and whether the event is public or private.
- Logistics details such as trailer parking and access, power availability, vendor or permit fees, budget range, drink preferences and payment preference.
- Any additional notes, event website links or messages you choose to send us.
- Your marketing preferences, including whether you opted in to receive updates from us.
Information collected automatically. When you browse the site we and our service providers may collect technical data such as your IP address, browser and device type, pages viewed, the page that referred you, approximate location, and the date and time of your visit. We also record which page or campaign led you to submit a form so that we can understand which parts of the site are useful.
Information from bookings and payments. If you become a catering client, we may keep quotes, agreements, deposit and invoice records, and communications about your event. Payments are handled by third-party payment or invoicing providers; we do not store full payment card numbers on this website.
How We Use Your Information
- To review and respond to event requests and catering quote requests, and to decide whether an event is a good fit for our trailer.
- To prepare quotes, agreements, invoices and schedules, and to coordinate service details such as timing, parking, power and staffing.
- To send confirmation emails, reminders and follow-ups about your request or booking.
- To send news, event announcements and offers, only if you have opted in. You can opt out at any time.
- To operate, secure and improve the website, prevent spam and fraud, and measure which pages and forms lead to bookings.
- To comply with legal, tax, insurance, permit and health and vending requirements.
Event Requests Are Not Confirmed Bookings
Submitting an event request or quote request does not hold a date. A date is only reserved once we confirm it in writing. We use the details you provide solely to evaluate and coordinate your request. We do not publish your private venue, address or event details without your permission.
How We Share Information
We do not sell your personal information. We share it only as needed with:
- Service providers that help us run the business, such as website hosting, email delivery, form and customer-management tools, calendar and scheduling tools, payment and invoicing providers, and analytics services. They may use your information only to perform services for us.
- Event organizers and venues, when needed to coordinate your event, for example to confirm vendor requirements, permits or insurance.
- Authorities and advisers, when required by law, to protect our rights and safety, or to obtain professional advice from accountants, insurers or attorneys.
- A successor business, if Night Roller Coffee is sold, merged or reorganized, subject to this policy.
Cookies and Analytics
We use cookies and similar technologies to keep the site working, remember your preferences, and understand how visitors use it. We use analytics tools, such as Google Analytics and Google Search Console, to measure traffic and form submissions. We aim to avoid sending personally identifying form entries to analytics tools. You can control or delete cookies through your browser settings, and you can opt out of Google Analytics with the browser add-on provided by Google. Blocking some cookies may affect how parts of the site work.
Email and Text Communications
We will always reply to the request you send us. We only send marketing emails or messages if you gave separate, optional consent, which is never pre-checked on our forms. Every marketing email includes an unsubscribe link, or you can ask us to stop at any time using the contact details below. Even if you opt out of marketing, we may still send messages about an active request, quote or booking.
Photos and Event Media
We may take photos and videos at events where our trailer is serving, and we may share them on this website and our social media channels. We aim to obtain permission where appropriate, especially for identifiable guests and children. If you appear in an image and would like it removed, contact us and we will review your request promptly.
Data Retention
We keep personal information only as long as needed for the purposes described in this policy, including handling your request, completing and documenting bookings, meeting tax, accounting and legal obligations, resolving disputes and enforcing our agreements. When information is no longer needed, we delete or de-identify it.
Security
We use reasonable administrative, technical and physical safeguards, including HTTPS encryption and access controls, to protect your information. No website or method of transmission is completely secure, so we cannot guarantee absolute security. Please do not send payment card numbers or sensitive identification details through our forms or by regular email.
Your Choices and Rights
Depending on where you live, including under Colorado and other U.S. state privacy laws, you may have the right to ask us to confirm whether we hold personal information about you, to access or receive a copy of it, to correct inaccurate information, to delete it, and to opt out of targeted advertising, the sale of personal information, or profiling. We do not sell personal information. To make a request, contact us using the details below. We may need to verify your identity before acting on a request, and we will respond within the time required by applicable law. You will not be treated differently for exercising your rights.
Children’s Privacy
The Services are intended for event organizers, businesses and adults. We do not knowingly collect personal information from children under 13 through this website. If you believe a child has provided us with personal information, please contact us and we will delete it.
Third-Party Links
Our site may link to third-party websites, event pages, social media platforms and booking or payment tools. We are not responsible for the privacy practices of those sites, and we encourage you to read their policies.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our business, services or legal requirements. We will post the updated version on this page and change the “Last updated” date above. Continued use of the Services after an update means you accept the revised policy.
